Templates save time until a real situation does not fit. A good one helps the next person spot missing information and know when to ask for help.
Keep the essential fields small
Choose the information needed to move the work forward: the request, owner, deadline and next step. Make required fields obvious. Remove sections that everyone skips unless they serve a clear purpose.
Add a visible uncertainty field
Use a prompt such as “What needs checking?” or “What is different this time?” This gives a teammate somewhere to record an unusual condition instead of hiding it in a long notes section. For customer work, include the approved escalation route.
Test with a real example
Fill out the template using a recent task without copying confidential details into an unapproved tool. Notice where you repeat yourself or cannot find the right field. Adjust the template after use so it reflects the work people actually do.
